We Know Cvent.
Inside and Outside.
We configure Cvent events, train teams who use it daily and manage it end-to-end for clients who prefer not to. We're also the agency that tells you when Cvent is more platform than you actually need.
Cvent service overview
Full event setup in Cvent
Registration forms, sessions, housing, invitation flows and custom CSS — built around the event, not around the template.
Run it as a managed service
Many clients hand us their Cvent account and stay focused on content. We handle the platform day to day.
Build internal Cvent skills
Beginner to advanced — structured around the workflows that matter to your specific event programme.
Know when to skip it
A 300-person corporate dinner on Cvent is often overpaying. We'll tell you before you license it.
Cvent configuration is not just clicking through a wizard.
The platform has real depth — session management, housing, custom attendee flows, CME integration, API connections. Most clients who come to us have either underused it or gotten stuck in areas where the documentation runs out.
Managed invitations with HCP validation and CME tracking
Pharmaceutical congresses need more than a registration form. We configure invitation workflows that validate HCP status, route attendees through appropriate consent and disclosure steps and track CME credit completion — all within Cvent, without manual workarounds post-event.
Parallel sessions, capacity limits and waitlist logic that holds
Session management in Cvent is powerful and unforgiving if misconfigured. We set up multi-track programmes with capacity limits, waitlists, session selection confirmation and the attendee-facing experience that makes choosing sessions feel simple — even when the logic behind it is not.
Beyond the default Cvent template
Default Cvent registration pages are functional. They are rarely beautiful. We apply custom CSS and conditional form logic to produce registration sites that fit the event brand and the attendee journey — including multi-language configurations for international programmes.
Attendance data, CME completion, no-show analysis
The data Cvent collects is only useful if someone extracts and shapes it properly. We build custom reports covering attendance by session, CME credit completion, no-show rates and — for multi-year programmes — cross-event comparison so you can see how the event is changing over time.
Cvent as a managed service
A significant share of our Cvent clients hand us the account and focus on their content and stakeholders. We handle configuration, day-to-day platform management, attendee queries during the registration window and onsite delivery. Some of those relationships have run for 10 years.
For clients without internal Cvent admin capacity — or who simply don't want to maintain it — this is a cleaner arrangement than trying to run the platform part-time with a coordinator who has four other things to do.
Cvent training for your team
We run Cvent training sessions designed around your actual event programme — not a generic platform tour. Beginner sessions cover basic event setup, form logic and attendee communications. Advanced sessions go deeper: custom reporting, session management, integrations, conditional logic and troubleshooting.
Training runs remotely or in-person at your office. Where a team has mixed experience levels, we sometimes split into two groups and run parallel tracks — as we did for one financial services client whose team had inherited a Cvent instance from their global HQ.
Partner status means faster access. It does not mean we sell Cvent to everyone.
The Cvent Sales & Event Services Partner designation gives us direct Cvent support lines, early feature access and better licensing terms for clients. That is genuinely useful when a complex event needs a quick answer from Cvent's own team.
But we are not measured on Cvent licenses sold. A 150-person internal seminar does not need Cvent — and we'll tell you that directly before you spend the budget. A multi-day HCP congress with CME tracking, housing management and structured session selection probably does.
Support where you need it
Three distinct ways to work with us on Cvent — from a single setup through to full ongoing management.
Configuration only
We build the event in Cvent — registration forms, sessions, housing, communications. Your team manages attendees and the inbox from there. Works well for teams with internal Cvent capacity that need a strong starting point.
Fully managed
We run the Cvent event from setup through to onsite delivery. Attendee queries, form updates, waitlist management, check-in configuration — all of it. Your team stays focused on content, speakers and stakeholders.
Training
We sit with your team and work through the platform properly — not a surface-level demo, but the workflows that actually matter for your event programme. Remote or in-person, beginner or advanced. Sometimes both in the same session.
The honest Cvent answer
Cvent earns its licensing cost when the event is genuinely complex: 100+ attendees, multiple session tracks, housing management, CME credit requirements, enterprise-grade data compliance or the need to run structured reporting across several events per year. The platform was built for that and handles it well.
For a single 50-person workshop or an internal team day, Cvent is almost always overkill. The licensing cost alone — before any setup work — doesn't make sense. A lighter tool like Idloom or even a well-configured form will do the job faster and cheaper. We'll point you in that direction without hesitation.
Quick guide: Cvent or something else?
- Multi-day congress with 100+ HCP attendees
- CME credit tracking required
- Multi-track session selection with capacity limits
- Housing management across multiple hotels
- Annual programme running for multiple years
- CRM integration needed for attendee data
- Single event under 100 attendees
- No internal platform admin after delivery
- Budget doesn't support Cvent licensing
- Two-week turnaround with a basic form
A decade of Cvent deployments — from annual congresses to one-off VIPs.
Our longest client has run their annual event programme on Cvent for 10 years. When we started, it was a single congress. Now it covers multiple events per year with different registration forms, session tracks and CME requirements — each one building on the last because the configuration history and the institutional knowledge stay with us.
That kind of continuity is only possible with a platform that has enough depth — and a team that knows it well enough to use that depth without getting buried in it. We don't rebuild from scratch each year. We carry the logic forward, improve what didn't work and add what the event has grown into.
Super Admin for clients who prefer it
We can act as Super Admin on your Cvent account — managing users, permissions, event templates and global settings — for clients who want the platform without the overhead of running it.
API integrations with your existing stack
We have experience connecting Cvent to CRM platforms and marketing automation tools via API — syncing attendee data, pushing attendance records and pulling reporting into cross-platform dashboards.
How we've worked with clients on Cvent
Real examples from our work — shared without naming the clients.
Annual HCP congress — full Cvent managed service, 3+ years
A pharmaceutical company runs an annual congress for healthcare professional customers. VI manages the full Cvent instance: invitation management with HCP validation, session selection with CME credit tracking, housing allocation, onsite check-in and post-event attendance and CME completion reporting. The same team has run this for three consecutive years — the configuration improves each cycle.
Two-track Cvent training for an inherited instance
A financial services team inherited a Cvent instance from their global HQ and needed to use it confidently — without being guided through a generic walkthrough. VI ran a two-track training: one group covering basic event setup and attendee management, a second covering advanced session management, custom reporting and integrations. Track assignment was based on a short self-assessment form completed before the session. Delivered in-person at their office.

Cvent support — common questions
Are you an official Cvent partner?
Yes. We hold the Cvent Sales & Event Services Partner designation — one of the formal partnership tiers Cvent awards to agencies with verified delivery experience. That gives us direct access to Cvent support channels, early feature information and, in some cases, better licensing terms than clients can access directly.
Can you train our internal event team on Cvent?
Yes. We run Cvent training for teams at different levels — from basic event setup for coordinators who are new to the platform, to advanced sessions covering custom logic, session management, reporting and integrations for teams that need to get more out of what they already have. Training is delivered remotely or in-person at your office, and we build it around your specific event programme rather than running a generic walkthrough.
Do you also configure and manage Cvent events for us?
Yes. Full managed service is our most common engagement. We take the Cvent instance, handle all event configuration — registration forms, session management, housing, invitation flows, email communications — manage attendee queries during the registration window and support the event onsite. Your team focuses on content and speakers; we handle the platform.
When does Cvent make sense, and when doesn't it?
Cvent makes sense for events with real complexity: 100+ attendees, multi-track sessions, housing management, CME credit tracking, enterprise compliance requirements or the need for solid CRM integration and cross-event reporting. The platform has genuine depth in those areas. It does not make sense for a single small seminar or a team event where the registration needs are basic — the licensing cost and setup time won't justify themselves. We'll tell you that clearly before you commit.
Can you help with Cvent integrations with our CRM or other systems?
Yes. We have experience building API integrations between Cvent and external systems — CRM platforms, marketing automation tools and data warehouses. Typical use cases include syncing attendee registration data into Salesforce or HubSpot, pushing event attendance into marketing workflows and pulling reporting data into cross-platform dashboards. The scope and complexity varies by client, but we can scope it once we understand what needs to connect.
What does a typical Cvent engagement with you look like?
For a managed Cvent event, the typical timeline runs eight to twelve weeks from briefing to go-live. Weeks one and two: discovery — event format, attendee types, compliance requirements, approval flows. Weeks three and four: configuration — event setup, registration forms, session management, email templates. Weeks five and six: internal review and testing, including test registrations and edge-case checks. From week seven: live management — attendee queries, form updates, waitlist handling — through to the event itself. For returning events, this compresses significantly because the base configuration carries forward.
