Do you ship hardware internationally?

Yes. We ship and set up hardware across Europe and beyond, including in the UAE and US, and coordinate local logistics so your team doesn't need to worry about customs or transport.

Can you integrate on-site hardware with our registration platform?

Absolutely. We connect badge printers and check-in devices directly to Cvent, Idloom, EventMobi, and other platforms, ensuring live sync of attendee data from the moment doors open.

What happens if hardware fails during an event?

We bring spare units to every event and our on-site technicians can swap and reconfigure in minutes, minimising any disruption to your attendees.

Which badge printer models do you work with?

We primarily use Zebra and Dymo label printers, configured for on-demand printing via Cvent OnArrival or similar check-in systems. Printer choice depends on badge size, material and throughput requirements. For RFID badge encoding we use specialist writers integrated into the printer workflow. We pre-configure and test all printers before they arrive on site — they are event-ready on delivery.

How early does hardware need to arrive at the venue?

We typically target delivery one day before the event opens, with setup and testing completing the evening before. For multi-day conferences with complex check-in configurations we prefer two days’ lead time. International shipments are factored into the timeline separately — customs clearance can add two to five working days in some regions.

Can you supply RFID or NFC badge encoding?

Yes. For events using RFID for access control, session tracking or cashless payments, we source and supply the badge stock with the appropriate chip specification, handle encoding workflows and integrate with whichever platform manages the attendee data. We advise on chip type and read range during the scoping phase.

What consumables are included with the hardware package?

We supply badge stock, lanyards and printer ribbons or thermal paper as required by the badge format. For each event we calculate expected badge volume plus a contingency margin — typically 15–20% above registered attendee count to cover on-site registrations, spoilage and VIP replacements. Consumables are included in the hardware package unless you prefer to supply your own badge stock.
