We work with 6Connex, Zoom Webinars, ON24, Hopin, and custom streaming setups — handling technical configuration, live moderation, and attendee support throughout your virtual event.

Can Visualizing-Ideas handle hybrid events that combine in-person and online audiences?

Yes. Hybrid is our speciality: we manage the physical venue technology while simultaneously streaming to virtual attendees, synchronising Q&A, polling, and networking features across both audiences.

How far in advance should we book virtual event support?

We recommend engaging us at least six to eight weeks before the event date for complex productions. Simpler webinars can be set up in two to three weeks.

Do you provide technical rehearsals before the live event?

Always. We run a full dry-run session with speakers and producers before every event to test audio, video, slides, and backup workflows, so the live broadcast goes smoothly.

What are the most common technical problems during virtual events and how do you prevent them?

The most common issues are: speaker audio or video failure, screen share conflicts, participant login problems and unexpected platform behaviour under load. We prevent these through mandatory technical rehearsals, individual speaker briefings, backup presentation files, a speaker greenroom separate from the main event environment, and a direct channel with the platform’s technical support throughout. We also prepare contingency plans for partial outages.

Can you handle international time zones for a global virtual event?

Yes. We schedule run-of-show documents, speaker briefings and technical rehearsals across time zones and have managed virtual events with simultaneous live audiences in Europe, North America and Asia-Pacific. Platform setup — including regional streaming endpoints and timezone display in the interface — is handled as standard.

Do you provide a technical host or moderator?

We can provide a technical host or moderator if needed — someone who manages the platform side of the session (polls, Q&A queue, recording, participant monitoring) while your content host or presenter focuses on the programme. For larger productions we recommend splitting the technical and content hosting roles.

What does virtual event support typically cost?

Costs depend on event scale, duration, platform choice and the level of support required. A managed webinar series on an existing platform can start from a few thousand euros per event. A multi-day virtual conference with custom platform setup, speaker management, live ops and post-event reporting is scoped individually. We provide fixed-price proposals so there are no surprises on event day.
